Job Title: HR Clerk-Student Position

Pay Rate: $14.56/hr


Essential Duties and Responsibilities:

Under supervision, the Human Resources Clerk will provide receptionist and clerical duties for the Human Resources department; maintaining updated and accurate personnel and payroll records and documentation for student employment and in maintaining the confidentiality of all personnel records and files.

  • Conduct New Student Employee Orientation for all new employees to include the completion and processing of the required hiring paperwork and review of policies as required.
  • Input and maintain I-9 files and logs.
  • Follow policies and confidentiality to safeguard data and information.
  • Input student data with a high level of attention to detail into (HRIS) program.
  • Store all paperwork in designated places securing the important documents at all times.
  • Check incoming paperwork (correspondence, invoices etc.) and distribute to appropriate HR personnel.
  • Maintain filing system to ensure personnel files are updated and organized.
  • Ensure customer service is conducted in a courteous and professional manner to customers and all other employees.
  • Answer telephones and inquiries from students, staff and community regarding the recruitment and employment process.
  • Type memos, correspondence, and miscellaneous reports pertaining to student employment.
  • Screen telephone calls and distribute incoming mail.
  • Photocopy and print material and information as required.
  • Maintain strict adherence to department procedures and processes.
  • Other duties as assigned.

Education, Work Experience Requirements and Abilities:


  • Must be a currently enrolled CSUF student.


  • Must have at least one year of basic clerical and one year data entry experience.
  • Major in related field may substitute for experience requirement.

Knowledge and Abilities:

  • Must be able to present in front of a group.
  • Must be organized, accurate, thorough, and able to monitor work for quality and correct data entry.
  • Ability to tactfully and clearly explain a wide variety of complex procedures and policies to individuals who have minimal knowledge of ASI.
  • Ability to work under moderate supervision.
  • Must have an interest in the Human Resources processes and the ability to maintain confidentiality of records.
  • Must be self-motivated and able to work independently.
  • Must be able to prioritize duties and follow through assignments to completion.
  • Must be able to interpret and carry out the Human Resources policies and procedures of the ASI.
  • Must possess effective written/oral communication skills.
  • Must possess strong organizational skills; ability to follow up and handle detail effectively and ability to learn quickly.
  • Must be able to interact effectively with students, staff, and general public.
  • Ability to work with people from diverse backgrounds and interests.
  • Must be able to accept instruction/constructive criticism from supervisor.
  • Must be able to keep an accurate record of hours worked by clocking in and out correctly.
  • Must be able to be on time, prepared to work and adhere to department dress code.

Typical Physical Requirements:

  • Frequently required to sit, talk, listen, walk; manual dexterity and eye-hand coordination; corrected hearing and vision to normal range; clear verbal communication.
  • Must be able to lift up to 35 lbs properly.
  • Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA and other federal, state and local standards, including meeting qualitative and/or quantitative productivity standards.
  • Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state and local standards

Special Requirements

  • Upon hire and with consent an employment history and criminal background investigation and fingerprint screening will be completed.
  • Required to be a Mandatory Reporter and sign ASI Limited Mandatory Reporter Form.
