Essential Duties and Responsibilities:

The Clerical Assistant has the responsibility of providing clerical support to the Program Coordinator, Director, Assistant Director, and Teaching Staff of the Children’s Center. The office serves a large number of parents, children, staff and campus community. In addition, the office also houses all records of children’s enrollment, attendance and paperwork to support grants and contracts with the California Department of Education and California Community Care Licensing.

  • Answer telephones and walk-in inquiries from students, staff, parents and community; distribute mail to parents and staff.
  • Photocopy and/or scan material and information as required.
  • Maintain accurate and current attendance records of the children. Gather absence reports from parents.
  • Ensures customer service is conducted in a courteous and professional manner to customers and all other employees.
  • Enter attendance data into childcare database and excel spreadsheets.
  • Maintain accurate immunization records of enrolled children.
  • Maintain current and accurate files of children's enrollment forms.
  • Maintain strict adherence of all current health and safety procedures. Attend safety meetings as scheduled.
  • General clerical duties, which may include computer inputting and filing of documents.
  • Other duties as assigned.

Education, Work Experience Requirements and Knowledge/Abilities:

Education:

  • Must be a CSUF student

Experience:

  • Equivalent to one year of progressive responsible general clerical experience including previous experience in a office with a wide variety of duties and responsibilities.
  • Knowledge of working with parents and children preferred.

Knowledge and Abilities:

  • Ability to work in a busy office with minimal supervision.
  • Excellent verbal and written communication skills.
  • Must be able to keep an accurate record of hours worked by clocking in and out correctly.
  • Must be able to be on time, prepared to work and adhere to department dress code.
  • Ability to explain clearly a variety of policies and procedures consistently in circumstances not clearly described by available guidelines to students, the public, and other campus employees.
  • Ability to process large amounts of paperwork with minimal supervision.
  • Maintain accurate records to support grants and licensing requirements.
  • Good working knowledge of MS Word, Excel, and Outlook. Some database ability to operate standard office equipment.

Typical Working Conditions

  • Work performed in a temperature controlled office environment.  Maintain and deal with a wide variety of public contacts including campus officials, members of the Board of Directors, staff, students, and campus community.

 

Typical Physical Requirements:   

  • Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA and other federal, state and local standards, including meeting qualitative and/or quantitative productivity standards.
  • Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state and local standards
  • Frequently required to sit, talk, listen, walk; manual dexterity and eye-hand coordination; corrected hearing and vision to normal range; clear verbal communication.
  • Must be able to safely carry and lift up to 25 lbs.

Special Requirements

  • Must pass a pre-employment T.B. test prior to commencing work.
  • Must fulfill responsibilities of a CA Mandated Reporter of Child Abuse.
  • Must provide completed health screen within 30 days of employment.
  • Must provide proof of immunization from measles, pertussis and flu (Flu shot may be declined with written declaration).
  • Upon hire and with consent an employment history and criminal background investigation and fingerprint screening will be completed.
  • Required to be a Mandated Reporter and sign ASI General Reporter Form.
