Position Title:                  Night and Weekend Supervisor

Reports To:                      Student Union Services Manager

Payroll Classification:    Hourly, Non-Exempt

Estimated Work Hours:   Wednesday - Friday, 12:00 pm - 9:00 pm, Saturday and Sunday - 11:00am - 8:00pm

Starting Hourly Rate:      $25.00 - $27.00 per hour

Position Definition:

The Night and Weekend Supervisor is a key role responsible for the safe and effective operation of the Titan Student Union (TSU) during nights and weekends. This position reports to the Student Union Services Manager and oversees multiple student teams, ensuring smooth event execution and facility maintenance.

 

Essential Duties and Responsibilities:

Event Management:

  • Assure safe, timely and accurate furniture and equipment set-ups of program and conference rooms for a wide variety of scheduled events, including outdoor events.
  • Meet regularly with University Conference Center (UCC) staff to review audio-visual, ticketing, and logistical requirements for all scheduled events. Coordinate last-minute reservation requests and changes as needed with the UCC.
  • Responsible for unlocking and securing reserved facilities for patrons.  Responsible for the preparation of facilities prior to and between use. This includes visual checks of furniture arrangements, room dividers, window treatments, presentation boards, supplies, temperature, audio-visual set-ups and the completion of any necessary minor cleaning
  • Ensure customer service is conducted in a courteous and professional manner to all customers and employees.
  • Act as liaison between ASI and contracted security staff.

Facility Management:

  • Monitor public and event facilities. Assess repair and custodial needs. Report and follow-up on all facility requests with Building Engineering (BE) or other appropriate department. Serve as department liaison to custodial contractor and BE.
  • Perform minor furniture and AV repairs and assembly. Report equipment failure, assess repair needs, ensure all equipment meets safety requirements and is in good working order. Report and follow-up on all faulty equipment and repair needs with the Events and Facilities Manager.
  • Schedule and facilitate furniture cleaning or reupholstery as needed.
  • Conduct inspections and set safety standards for team members. Ensure strict adherence to established safety procedures and conduct monthly safety tailgate meetings.

Administration and Staff Management:

  • Responsible for recruitment, hiring, training, and supervision of 8-10 set up assistants and 12-15 Building Managers and 10-12 Information Services Student Assistants.
  • Assist in the development of the departmental budget. 
  • Attend and participate in regularly scheduled meetings. Serve on committees as requested.
  • Serve as a TSU Building Marshal.

Education:

Bachelor's degree from an accredited university required.

Experience:

Two years of supervisory experience working in an educational or event management position. Intermediate level event logistics experience preferred. Budget planning and management experience.

Knowledge, Skills and Abilities:

       Understanding of event logistics, setup procedures, audio-visual equipment, and space utilization.

       Awareness of common facility repair needs, custodial procedures, and building safety protocols.

       Knowledge of effective hiring practices, training methods, performance management techniques, and labor laws.

       Understanding of principles of excellent customer service and professional communication.

       Basic understanding of budgeting processes and departmental financial planning.

       Familiarity with inventory control practices and record-keeping systems.

       Knowledge of general safety regulations and emergency response protocols.

       Ability to motivate, supervise, and delegate tasks to student staff effectively.

       Excellent written and verbal communication skills to collaborate with various stakeholders (staff, students, external vendors).

       Ability to identify issues, assess solutions, and implement effective plans for event execution and facility management.

       Strong organizational skills to manage multiple tasks, schedules, and deadlines efficiently.

       Ability to build positive relationships with staff, students, and other departments.

       Proficiency in basic computer skills and potentially relevant software for scheduling, payroll, or inventory management (if applicable).

       Ability to manage time effectively to prioritize tasks and meet deadlines.

       Ability to make sound decisions regarding event setups, facility repairs, and staff management.

       Ability to adapt to changing situations and handle unexpected challenges during events or facility issues.

       Ability to perform light physical tasks such as lifting furniture and setting up equipment.

       Ability to focus on details to ensure proper event setup, facility cleanliness, and accurate record-keeping.

       Ability to take initiative, anticipate needs, and proactively solve problems.

Typical Physical and Mental Requirements:

  • Sitting and standing for extended periods: The role involves significant computer work and meetings, requiring sustained sitting or standing.
  • Walking and climbing stairs: Moving around the campus, attending events, and potentially using stairs regularly.
  • Lifting and carrying moderate weight: This could include lifting and carrying materials for presentations, events, or production activities no more than 25lbs.
  • Dexterity and fine motor skills: Operating computer equipment, handling small objects, and performing tasks requiring hand-eye coordination.
  • Visual and auditory acuity: Effective communication and interaction in various settings require good vision and hearing.

Special Requirements

  • Schedule will fluctuate seasonally based on the needs of the department and will require night and weekend hours.
  • Employment will be contingent on a satisfactory employment history and criminal background investigation.
  • May be required to drive occasionally as needed. Valid driver’s license and current auto insurance must be on file at all times and must meet CSURMA driving standards.
